Accounts Your CA Will Thank You For: A Simple Bahi Khata Routine
At some point in the year, your records have to be read by someone else — an accountant, a partner, a family member taking over for a week. What costs time then is never the size of the shop. It is small gaps in the book: an entry with no date, a name written three different ways, a purchase bill that went missing.
1. Date every entry
An entry without a date cannot be placed in a month, and a month that cannot be totalled is a month that has to be reconstructed from memory. Writing the date is one second of work in the evening and saves hours at the end of the year.
2. Keep one book per purpose
If the daily entries are in the bahi khata, keep the name-wise accounts in the ledger and leave it at that. Two clear books are easier to follow than four half-used ones — and much easier than a stack of loose pages.
3. Write names the same way every time
If a customer appears as “Ramesh”, “Ramesh ji” and “R K Store” across three entries, the year-end total for that customer is wrong, and someone has to reconcile the three. Pick one spelling, ideally the one the shopkeeper recognises instantly, and stick to it.
4. Keep business and household money apart
Once shop cash starts paying for household things without a note, no reader can tell what belongs to the business. If you take money out of the till, write it as a withdrawal on the same page. One line turns an unexplainable gap into a normal transaction.
5. Add up every month, not every year
A monthly total takes ten minutes and catches problems while you still remember the day they happened. It also means the annual figures are twelve additions rather than one long reconstruction. Most books used for accounts, such as the Ledger Canvas Full Size 17 x 28 Inch | Business Accounting & Bahi Khata Ledger Register or a tich button register like the Full Ledger Tich Button 17 x 28 Inch 107gms (BILT PAPER) | Account Book, have pages where a monthly summary can be written down neatly at the back or the top of a fresh page.
Keep the bills where you can find them
Purchases and expenses are only as good as the papers behind them. A File Book or a clip file such as the Canvas Index Kangaroo Clip File 14 x 11 Inch | Durable Office Document & Certificate File Folder keeps the month’s bills in one place, in order, and lets you hand over the file with the book instead of hunting for slips.
What to hand over at the end of the year
- The daily book (bahi khata or cash book) for the year.
- The ledger with name-wise accounts and totals.
- The month’s purchase and expense bills, filed in order.
- Your own note of anything unusual — a one-off purchase, a large payment received.
That is a complete set of records for a small shop, and none of it needs specialist knowledge to keep. It needs a book with enough ruled columns, a pen, and the five habits above.
This is general record-keeping guidance, not tax or legal advice — for your own filing requirements, follow what your accountant asks for.
The books mentioned here, and the rest of the range, are on our shop page with sizes, ruling and binding listed on every product.
