Daily Hisab Kitab for a Kirana Shop: What to Write Down Every Day

Every shopkeeper knows what hisab kitab is supposed to be. The difficulty is doing it at nine at night, after a full day, when the only thing left is to shut the shutter. The answer is not discipline — it is making the routine short and fixed, so it takes five minutes and never needs a decision.

Keep one book, in one place

Write every money entry in the same book, and keep the book in the same place. Slips of paper, notes on the phone and a diary in the drawer all fail for the same reason: at the end of the month, nobody knows whether everything was written down. One Account Book behind the counter solves that.

Write the day’s opening position

Start each day’s page with the cash you have in hand at the beginning. That one number is what makes the rest of the day checkable — if the day’s entries and the closing cash disagree, you will see it the same evening instead of at the end of the month.

Then the five entries a shop actually makes

  • Cash sales — the day’s takings. If you total them at intervals, note each total as you go.
  • Credit sales (udhar) — the customer’s name, the date and the amount. This is the entry most shops regret missing.
  • Payments received — when a credit customer settles part or all of what they owed.
  • Purchases — stock bought for the shop, and from whom.
  • Expenses — transport, packing material, tea, electricity, staff wages. Small amounts add up; write them anyway.

Close the day with two totals

Add the day’s sales and total the cash paid out. Then count the cash in the drawer and check it against the opening figure plus sales minus expenses. When the two match, the page is done. When they do not, note the difference — the useful part is not the difference itself but the fact that you saw it today.

A cash book makes this easier

A book with proper columns for receipts and payments, such as the Cash Book Canvas Copy Size 6×8 Inch for a compact counter or the full-size Cash Book Canvas Full Size 17 x 28 Inch 107gms(BUILT PAPER) | Business Accounting & Bahi Khata Register Book, gives you one line per transaction and a clear running total. Shops that handle udhar as well usually keep a second book for the credit side, or post those names into a Ledger Register once a week.

Once a week, ten minutes

  • Add up the week’s sales and expenses.
  • Post every udhar entry into the ledger with the customer’s name.
  • Check that the udhar total matches the slips or the book page you wrote it on.
  • Put the week’s purchase bills in one file so they are not hunted for later.

Do that, and the yearly total becomes an addition exercise instead of an investigation. The books are on our shop page, with sizes and ruling described on every product page so you can pick one that fits your counter.
